This Privacy Policy governs the manner in which OWL Vets Ltd collects, uses, maintains and discloses information collected from clients, visitors, or users of this website.

The type of personal information we collect

We currently collect and process the following information from clients/users:Personal identifiers, contacts (such as email and street address, phone number) and characteristics (for example, name, professional qualifications, organisation and contact details)

How we get the personal information and why we have it

We will collect personal identification information from Customers / Users only if they voluntarily submit such information to us and persons can decline to supply personal  identification information. Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • In connection with providing Named Veterinary Surgeon services, advice or consultancy to your Establishment.
  • In connection with training courses that we provide.

We also receive personal information indirectly, e.g. from the following sources:

  • When Clients / users visit our website, fill out the contact form, and in connection with other activities, services, features or resources we make available on our website. Persons may, however, visit our website anonymously.
  • Name, professional qualifications and work address in connection with documents, such as Project Licence review.

Information that you provide helps us respond to your customer service requests more efficiently. An example of this is personal information you send us via the form on our ‘Contact us’ page. Visitor comments may be checked through an automated spam detection service. We may use the information that you have given us in order to fulfil our Statutory requirements under the Animals (Scientific Procedures) Act 1986 as amended.

We may share this information with other Directors or employees of OWL Vets Ltd.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting us at: Contact@owlvets.com

(b) We have a contractual obligation (e.g. to our clients).

(c) We have a legal obligation (e.g. to comply with the law relating to the Animals Scientific Procedures Act (ASPA)).

(d) We need it to perform a public task (e.g. as part of our Statutory duties under ASPA, or Vet Surgeons Act, or in order to carry out certification).

(e) We have a legitimate interest. (e.g. we may use the email address provided in order to respond to queries, or use your feedback to improve our website).

We do not pass on your information to third parties, unless with your express consent for that occasion.

How we store your personal information

We adopt appropriate data collection, storage and processing practices and security measures to protect against unauthorized access, alteration, disclosure or destruction of your personal information and data stored on our systems. Your information is securely stored on hardware that is encrypted, with data backup on a GDPR-compliant external server, which is pass-code protected.

We keep Personal identification, such as name, contact details that is held in connection with Named Veterinary Surgeon Services for 6 years, as required by UK Home Office (ASRU. Other data will be kept for up to 5 years, unless specifically required by Statutory Authorities. We will then dispose of your information by deleting it from our electronic database and securely destroying any paper records held.

Your data protection rights

Under data protection law, you have rights including:

  • Your right to be informed – You have the right to be informed about the collection and use of your personal data.
  • Your right of access – You have the right to ask us for copies of your personal information.
  • Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  • Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
  • Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
  • Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

OWL Vets Ltd has the discretion to update this privacy policy at any time. When we do, we will post a notification on the main page of our website and revise the updated date at the bottom of this page. We encourage clients/ users to frequently check this page for any changes to stay informed about how we are helping to protect the personal information we collect. You acknowledge and agree that it is your responsibility to review this privacy policy periodically and become aware of modifications.

OWL Vets Ltd is registered with the Information Commissioner. Reference number ZA726829. Please ask if you would like to see our certificate of registration.
